EfficientPIM is an All-in-One Personal Information Manager designed for systems running Windows 7, Vista, XP, 2008, 2003, 2000, 98, ME and NT4 (32-bit and 64-bit). It's available in the following languages: English, Bulgarian, Croatian, Czech, Farsi, Finnish, French, German, Italian, Norwegian, Polish, Portuguese (Brazilian), Russian, Simplified Chinese, Spanish, Swedish, Traditional Chinese.

Overview

EfficientPIM by Efficient Softwareis inexpensive, versatile and powerful. I like the fact that password protection and a password generator are built in. If you've tried and liked Efficient Software's free products, you won't be disappointed.

I've used Efficient Password ManagerEfficient Diary and Efficient Sticky Notes (all free) for several years and I've been pleased with them, but EfficientPIM is even better. It has a task manager / To Do List, Calendar, Events, Contacts Manager, and Notes text editor. The built-in Text Editor / Comment Editor is similar to MS Word. You can change fonts, add formatting, insert images, links and tables.

EfficientPIM comes as a standard installation or as a portable application that installs on a USB portable drive.

Tasks / To Do List


Make a list of tasks you want to accomplish. Set one-time or recurring snoozable, popup and / or audible alarms and EfficientPIM reminds you, or leave off the alarms and the tasks stay docked on the side.

Using Tasks is a great way to check in with your subconscious mind, or keep the procrastinator in you on track. Create a new Task, give it a name, due date, priority, recurrence, etc. Include ideas or notes in the Comments Box, associate someone from your Contacts list or assign the task to a "Group". Add a date/time stamp to keep a running tally of what you've accomplished.

For example, I was wondering what to do with an account that I've had for several years that is still waiting for me to use. I created a task and jotted down the note "Need to decide what to do with this account". Each day, I read my note and added a date/time stamp to show that I'd checked on the task and made relevant notes, then I continued through the remaining items on my task list. Within three or four days of creating the task and letting my subconscious play with ideas, I had several viable ideas for the account.

One of the things I like about this software is that it prompts me to check in with myself each day and to make choices I'll benefit from. Since I use Date/Time stamps in the comments, I can see which days I checked in. The routine of simply reviewing a task focuses my attention on my goal. My subconscious begins working on the resolution.

Calendar

The Calendar shows your events in several different views: day, work week, week, month, year and time grid while keeping Tasks, previous month and current month views docked on the right side for easy reference. 
Associate someone in your Contacts list to an Event (Meeting, Birthday, etc.). You can create groups and associate an Event to that group (volunteer, studying, etc.)

Contacts

Right click on a contact and create a new event, task, diary entry, or note associated with that person; other options include: send an email, attach files and attach images to a contact.

Events

Create an event and select start and end times, whether it repeats and how often. Select whether you want advance notification of an event and the amount of notification time you want. EfficientPIM will notify you of the event. Has audible and pop-up notification. If you're busy and just can't stop, select how long you want to postpone the event (5 - 30 minutes) and click the "Snooze" button.
I've got events set up for meditation time and things like that. Each "Event" has a "Comment" section where you can write notes or log your event progress. Right-click within the body of the Comment box to access the menu. 

Diary

The Diary is one of my favorite components of EfficientPIM. The built-in editor is similar to MS Word and many other editors, so it should be pretty familiar for most users. Diary entries are read-only; double click the diary entry title or highlight the entry then click the "Edit" button to make changes to an entry.
Standard formatting options are available (see the editor in the Notes section below) and you can add tables, images and links to pertinent sites. Entries can be exported to .html and .rtf
The Diary is great for so many different things. Make entries for exercise, a food journal, mental health journal or any number of other things.

Notes

The Notes editor is a lot like MS-Word. It does all the things a good editor should do. Insert images, tables, spell check and insert emoticons, print, or export to .html or .rtf format.
This is where integration is so nice. I keep several Notes in process most of the time: quotes I like, article ideas, research info, etc. For this Hub, I created an Events and set an alarm to pop up to dedicate time to this Hub.
If I'm busy and can't stop when it's time to switch from one task to another, I select how long I want to postpone the event and click the "Snooze" button, otherwise I insert a Date/Time stamp and notation in the event or task "Comment" section.

Desktop Notes, Password Manager, Favorite URLs

Desktop Sticky Notes
Desktop Notes are sticky notes for your desktop. They're great for making quick notes when EfficientPIM is minimized and you need to jot something down. I keep at least one sticky note on my desktop and change it as needed. Jotting down a note is as easy as double-clicking and typing. You can customize the Desktop Note background color, opacity, font and even attach a file.
Password Manager

EfficientPIM provides a powerful password manager. The password manager keeps track of your login info and will even open the site in your browser by right-clicking on the URL. It's easy to record and find all your passwords. From now on, you only need to remember one password!

Favorite URLs
This is another super useful tool. Create a list of your favorite URLs and when you're ready to visit the site, right click on the site title and choose "Visit Web Page". The site will open in your default browser and log you into your account.

Search and Recycle Bin

Search
The search function of EfficientPIM is great. It searches within all components of EfficientPIM to find what you're looking for.

Recycle Bin
EfficientPIM has a self-contained recycle bin. If you delete an item (contact, task, etc.) it goes to EfficientPIM's built-in secure recycle bin. To restore, click the recycle bin icon on the left, select the category (diary, password, etc), then select the item in the pane on the right, right click the item and select Undelete.

Cons

In Events, you're supposed to be able to move the event to a new time or adjust the amount of time dedicated to an event using drag and drop. Drag and Drop never worked for me running XP Media Edition. I had to edit the times manually.
EfficientPIM doesn't use the same file extensions that Efficient Password and Efficient Diary do, so you have to export those to either CSV or HTML format and import those items to Efficient PIM.

Pros

These are the key considerations for me.
  1. EfficientPIM can be installed as a Portable Application and runs from a thumbdrive.
  2. Important information is at hand and is password protected. Built-in recycle bin keeps deleted items secure.
  3. Integrated time and task management with document creation tools boost productivity and lessen procrastination.
